Once your Organization has been configured in Altaro Office 365 Backup by granting all required permissions, the system is ready to backup and restore your Office 365 data.
The backup and restore procedures are very simple and intuitive requiring only few clicks.

Login the Altaro CMC
From your preferred browser enter the address of the Altaro CMC and specify your credentials. Click Sign In.
Select Office 365 Backup application.

Backup and restore Office 365
Go to Office 365 Organizations area to see Organizations added to Altaro Office 365 Backup.
Next to your Organization name, there are some icons where you can get information for each option. Pass the mouse over to get information.
Grant access
This icon allows to assign or remove access to Office 365. Click the key icon.
From this window you can manage the Altaro's access permissions to the applications.
Backup new users
Enable or disable automatic backup for new users.
Backup new Groups, SharePoint docs, Teams chats
Enable or disable automatic backup for new Groups, SharePoint docs, Teams chats.
Backup status
Show the status of performed backups.
Remove Organization
Click to remove the configured Office 365 Organization.
If you click Yes, the configured Organization is removed from Altaro and backups deleted.
Backup Office 365 data
During the setup Altaro Office 365 Backup, users to backup were already configured but you may need to disable the backup or perform a manual backup or restore. Click Users under Backups to access the management of the Office 365 applications backup associated to configured Organizations.
To enable or disable the backup for mailboxes, OneDrive, and Teams or take a manual backup or restore, you just need to click the corresponding option. Bear in mind you can only manage users with an active subscription to Office 365. Select Take Backup to backup current user.
The mailbox is being processed.
Backup limitation
Although Altaro Office 365 Backup is a robust and secure product, it has some limitations in the current version you should be aware:
- Backups cannot be scheduled and they are taken automatically every 4 hours. This could be a limitation for some Organizations that want a lower RPO but taking a backup every 4 hours covers most of business requirements.
- You cannot change the repository to store your backups and this restriction may affect Organizations that want take advantage of local repositories or different cloud options.
Restore Office 365 data
The restore process of your backed up Office 365 data is a five steps procedure.
Step 1 - Choose Restore Source
From the Select an Office 365 Organization drop-down menu specify the Organization to process. Click Next.
Step 2 - Select Mailboxes
Select mailboxes to restore and click Next.
Step 3 - Select Backup Version
From the Choose a Version to Restore drop-down menu, select the version you want to use and click Next.
Step 4 - Choose Restore Destination
There are different options to restore the selected mailbox:
- Restore to the same mailbox
- Restore to a different mailbox
- Restore to a PST file
- Restore to a ZIP archive
Select the desired Restore Destination and click Next.
Step 5 - Restore Options
You can enable the self-explanatory Restore Emails back to their original folders option. Restored objects will be saved in the location specified in the Selected Mailbox. Click Restore.
For security reasons you need to provide your Altaro CMC credentials. Enter your password and click Verify Credentials.
Finish
Click Go to Dashboard to monitor the restore progress.
The selected mailbox has been restored successfully.
You will also receive an email to your mailbox with the result of the operation.
Granular Restore
With Altaro Office 365 Backup you have also the capability to restore a single item from the mailbox.
Go to Granular Restore area and specify the Office 365 Organization to process. Click Next.
For security reasons you need to provide your Altaro CMC credentials. Enter your password and click Verify Credentials.
Choose Restore Type by selecting available options from the drop-down menu:
- Mailbox
- OneDrive Account
- SharePoint Files
Then select Restore item and backup version. Specify items to restore then click Restore selected items.
Step 1 - Browse
Click Next to continue.
Step 2 - Choose Restore Destination
There are different options to restore the selected items:
- Restore to the same mailbox
- Restore to a different mailbox
- Restore to a PST file
- Restore to a ZIP archive
Select the desired Restore Destination and click Next.
Step 3 - Restore Options
You can enable the self-explanatory Restore Selected Items back to their original folders option. Restored objects will be saved in the location specified in the Selected Mailbox. Click Restore.
Finish
Click Close to close the window.
The restore process has been completed successfully.
